--- description: What members see when an organization's trial ends, it is pending deletion, or a self-managed licence ends, and how each is resolved. --- # Trial and organization deletion An organization can be in several states besides active. None of these states can be started or ended from Settings. A trial is extended and deletion is scheduled by Actian. The only exception is **Restore**: during the pending-deletion period, a member with **Manage organization** can cancel the deletion. ## At a glance | State | What members see | What stops | How it's resolved | |-------|------------------|------------|-------------------| | **Trial** | A **Trial** card at the bottom of the sidebar with the days left | Nothing | Contact Actian before the trial ends | | **Trial ended** | A full-screen notice: *The trial for {organization} has ended* | All product work, including Workspace export | Actian extends the trial or ends it when a plan is assigned | | **Pending deletion** | A notice in place of the page content: *This organization is pending deletion* | All product work | A member with **Manage organization** restores it within 14 days, or it is permanently deleted | | **Licence grace period** (self-managed only) | A banner in Studio with the date the grace period ends | Nothing | Renew the licence | | **Licence expired** (self-managed only) | Authenticated app and API requests are refused; Workspace export still works | App and API requests across the whole installation | Install a renewed licence | For the trial and pending-deletion rows, "all product work" means the app, the Public API and scheduled work for that organization: pages show the notice instead of their content, Public API requests are refused and Scheduled Insights are skipped. In Slack and Microsoft Teams, AI Analyst does not answer questions in these states. It replies in the thread that it cannot answer. The licence rows work differently, as described in [Self-managed deployments: licence](#self-managed-deployments-licence). ## Trial !!! info "Availability" - **Deployment:** Actian SaaS only. A trial applies to organizations on Actian SaaS. It starts in one of two ways: - Automatically, when you create an organization yourself and Actian SaaS is set up to give new organizations a trial. This does not apply to organizations created through Enterprise SSO. - When Actian sets a trial end date for your organization. You cannot start, extend or end a trial yourself, and there is no in-product way to subscribe to a plan. ### During the trial Every member sees a **Trial** card at the bottom of the sidebar showing how many days are left, rounded up to whole days. Hover over it to see the exact end date and time (**Ends** …). To keep using AI Analyst after the trial, contact Actian before the end date. ### When the trial ends Access pauses as soon as the trial end time passes. Members see a full-screen notice: > **The trial for {organization} has ended** > Product access is paused. Contact sales to extend the trial or assign a plan. While the trial is over: - Members cannot use AI Analyst in this organization, including reading its data in the product. - Scheduled Insights are skipped, and Public API requests are refused. - Workspace export is also blocked, so export anything you need before the trial ends. Nothing is deleted when a trial ends, and the organization is not scheduled for deletion. Access returns when Actian extends the trial or ends it as part of assigning a plan. For the options on this notice, see [Options on the full-screen notices](#options-on-the-full-screen-notices). ## Options on the full-screen notices The *trial ended* notice offers these options: - **Contact sales**: opens the in-app support chat. It is not shown on air-gapped deployments, where you contact your Actian account team another way. - An organization switcher, to move to another organization you belong to. - **Leave this organization**: after you confirm in the *Leave {organization}?* dialog, you lose access until someone invites you back. - **Sign out**. ## Organization deletion You cannot delete an organization from Settings. On Actian SaaS, contact Actian to have an organization deleted. Deletion happens in two stages: 1. **Pending deletion.** The organization is locked for a grace period of 14 days. During this time it can still be restored. 2. **Permanent deletion.** When the grace period ends, AI Analyst deletes the organization and its data from the product. This cannot be undone. Actian can also skip the grace period and delete an organization immediately; an organization deleted this way cannot be restored. ### Before you request deletion Export anything you want to keep first, such as your Workspaces (see [Export](../governance/export-semantic-layer-and-agents/README.md)). Once the organization is pending deletion, Settings and every other page are replaced by the pending-deletion notice, so you cannot export from the app. ### While deletion is pending Members see this notice in place of the page content. The sidebar and organization switcher stay available, so you can switch to another organization. > **This organization is pending deletion** > You can switch to another organization, or leave this one. Product work is paused until the organization is restored or permanently deleted. The notice itself has no **Leave** button. To move on, use the organization switcher to open another organization. While the organization is pending deletion, and while it is being deleted: - Product work is paused in the app. - Scheduled Insights are skipped. - Public API requests are refused. - In Slack and Microsoft Teams, AI Analyst does not answer questions. It replies in the thread that it cannot answer. The notice also has **Contact us**, which opens the in-app support chat. **Contact us** is not shown on air-gapped deployments. ### Restore an organization !!! info "Availability" - **Who can do this:** members with the **Manage organization** capability in the organization that is pending deletion. 1. Open the organization. The pending-deletion notice appears. 2. Click **Restore**. 3. In the *Restore this organization?* dialog, click **Restore**. To leave it pending, click **Keep pending**. Restoring cancels the scheduled deletion and makes the organization active again. People can resume work straight away. Every member sees the **Restore** button, but only members with **Manage organization** can use it. Other members who click it see *Couldn't restore this organization. Try again.* If the organization's trial has also ended, **Restore** fails until Actian resolves that state. Contact Actian. You can restore an organization only while it is pending deletion. Once permanent deletion has started, **Restore** disappears and the organization cannot be recovered. ### What is permanently deleted When the grace period ends, AI Analyst deletes the following from the product: - All of the organization's Workspaces and their content, including Models, Metrics, Glossary terms, AI Analysts and data connections. - The organization's Audit log. - Stored files: the organization logo, the chart typeface, attachments, uploaded data files and Audit exports. - Conversation history. - The organization's queued background work. - The organization's plan record. - The organization's Enterprise SSO connection and its organization in the identity provider, where the identity provider supports this. - Agent traces, when tracing is enabled. Members' user accounts are not deleted. Shared Slack and Microsoft Teams workspace installations are also kept. ## When more than one state applies - If an organization is pending deletion, the pending-deletion notice applies, not the trial notice. ## Self-managed deployments: licence !!! info "Availability" - **Deployment:** self-managed deployments only. On a self-managed deployment, AI Analyst runs on a licence file that Actian signs and provides. The licence covers the whole installation: every organization in it shares the same licence end date and features. To see the licence, go to **Settings** → **Administration** → **Usage**. On a licensed installation, the page shows **Licensed to** with the customer name and **Licence ends** with the date. The licence goes through three states: | State | What happens | |-------|--------------| | **Active** | Everything works until the licence end date. | | **Grace period** | After the end date, AI Analyst keeps working for the number of days set in the licence. Studio shows a banner: *Your licence ended on {date}. AI Analyst keeps working until {date}; renew the licence before then to avoid interruption.* | | **Expired** | After the grace period, AI Analyst refuses most product requests across the whole installation. Exporting a Workspace is still allowed. Importing a Workspace is refused. | To renew, contact Actian for a renewed licence file. Your operator replaces the licence file and restarts the AI Analyst server, because the server reads the licence only when it starts.
