Saved Prompts¶
Saved Prompts are reusable questions that your data team publishes for an AI Analyst. Instead of retyping a question that worked well, you type / and pick the prompt from a list. Your data team saves each prompt once in Studio, and everyone who chats with the analyst can use it.
Availability
- Who can do this: members with the Chat capability in the active Workspace can use saved prompts. Members with the Edit capability create, edit and delete them in Studio.
How saved prompts are organized¶
- They belong to a Workspace. Each Workspace has its own saved prompts. When you switch Workspace, you see that Workspace's prompts.
- They are tied to one AI Analyst or to all of them. A prompt is either specific to one AI Analyst or marked Global (all analysts). In a conversation, the list shows the prompts for that conversation's analyst plus all global prompts.
- They are slash commands. Every prompt has a short command (its slug), such as
/revenue-by-region, and a title.
Using a saved prompt¶
- Start a new conversation or open one of your conversations.
- In an empty message box, type
/. The list of saved prompts opens. Each entry shows its command (for example/revenue-by-region) and its title. - Keep typing to filter the list by command or title, for example
/revenue. Matching ignores upper and lower case. - Use the arrow keys to move through the list, then press Enter (or click a prompt) to select it. Press Escape to close the list without choosing.
- The prompt's text is inserted into the message box, never sent automatically. Edit it if needed, then press Enter to send it.
When the list doesn't open
The list opens only when the message box contains nothing but / and an optional single word. It closes as soon as you type a space, and it doesn't open in the middle of other text. Clear the message box and type / again.
If no prompt matches what you typed, the list shows No saved prompts found. If you expected a prompt that isn't there, check that you're in the right Workspace and talking to the right AI Analyst, or ask your data team to add it.
The same / list also works in the Test panel that Studio users use to try out an AI Analyst.
Filling in placeholders¶
Saved prompts can contain placeholders written in double braces, such as {{region}} or {{timeframe}}. For example:
Show me revenue by {{region}} for {{timeframe}}
When you insert a prompt with placeholders:
- The first placeholder is already selected, so just start typing to replace it.
- Press Tab to select the next placeholder. After the last one, Tab goes back to the first remaining placeholder.
- When no placeholders are left in the message, Tab moves focus out of the message box as usual.
Shift+Tab does not go back to the previous placeholder. Click the placeholder you want to change instead.
Note
Tab jumps to any {{...}} text in the message box, including placeholders you type yourself.
Saved Prompts vs. Suggestions¶
Suggestions and Saved Prompts both help you ask good questions, but they work differently:
| Suggestions | Saved Prompts | |
|---|---|---|
| Where you find them | On the new-conversation screen | Type / in an empty message box |
| Created by | AI-generated from the analyst's linked data and instructions; editable in Studio | Your data team (members with the Edit capability) in Studio |
| Purpose | Discovery: "here's what you could ask" | Reuse: "here's what we know works" |
| Prompt length | Short title; selecting one loads the full question | Any length; can include {{placeholder}} tokens |
| Stability | Change only when your data team edits or regenerates them | Stable until edited or deleted in Studio |
For Studio authors¶
Members with the Edit capability manage saved prompts in Studio, on an AI Analyst's Saved prompts tab:
- Click Add saved prompt and fill in Slug, Title and Body. Slug and title are required.
- Select Global (all analysts) to make the prompt available with every AI Analyst in the Workspace.
- Add
{{name}}tokens to the body to create placeholders. They appear under Placeholders as you type. - Each slug must be unique. A global prompt's slug can't match any other saved prompt in the Workspace. An analyst's prompt can't reuse the slug of a global prompt or of another prompt for the same analyst, but two different analysts can each have their own
/revenue. A clash shows This slug is already used by another prompt. - Click Save changes to save your edits.
- Each prompt shows how often it has been used (for example Used 12 times). The count goes up each time someone sends a message that started from the prompt.
- Deleting a prompt removes it from every message box where it could be used.
Members without the Edit capability who can open Studio see the list of prompts but can't add, edit or delete them.
Note
The Steward has its own separate set of saved commands. Prompts you save for an AI Analyst don't appear in the Steward, and the other way round.
Frequently asked questions¶
Can I save a prompt from one of my conversations? No. Saved prompts are created in Studio by members with the Edit capability. If you have a question that works well, share it with your data team so they can add it.
Is there a list of saved prompts on the Explorer home screen?
No. The new-conversation screen shows the analyst's suggestions. To see the saved prompts, type / in the message box.
