Notifications

Actian AI Analyst can tell you when something needs attention: the Steward adds items to its Inbox, a data source can't be reached or is slow, or a Scheduled Insight finds something. You control notifications in two places:

Where What it controls Who it applies to
Settings → Notifications Which emails you receive Only you
Settings → Administration → Notifications Which Slack or Microsoft Teams channel each alert type is posted to Everyone in the current Workspace

Email notifications

Every member manages their own email preferences.

To choose which emails you receive:

  1. Open Settings and click Notifications (in your personal settings, above Administration).
  2. Under Email notifications, turn each toggle on or off.
  3. Click Save in the bar at the bottom of the page to apply your changes. Click Discard to undo them.

All toggles are on by default.

Toggle You get an email when… Shown to
Steward inbox alerts The Steward adds new items to its Inbox. At most once per day. Members with Studio access
Connection failure alerts AI Analyst can't connect to one of your data sources. Members with Studio access
High latency alerts A data source averages more than 30 seconds per query. Members with Studio access
Scheduled insight emails A Scheduled Insight you own produces a finding. Everyone

Studio access comes from the Edit or Manage members capability in a Workspace, or the Manage organization or Manage members and access capability for the organization.

Who receives each email

Turning a toggle on doesn't by itself mean you receive that email:

  • Steward inbox alerts go only to members with the Edit capability, and each email lists only items from the Workspaces where you hold Edit.
  • Connection failure alerts and High latency alerts go to members with Edit in the Workspaces the affected connection is attached to. See Data Source Health Monitoring.
  • Scheduled insight emails go to the owner of the schedule, when a run produces a finding. A run that finds nothing sends no email.

How Steward inbox emails are grouped

You get at most one Steward email per day, and it says how many new items there are. Items are never repeated, and items that arrive after an email are included in the next one.

Note

On self-managed deployments, the operator can change the one-day interval.

What a scheduled insight email contains

The email is sent when the scheduled run finishes. It includes up to four charts from the run inline, and a link to the run in Explorer. If a chart can't be rendered, it is left out and the email is still sent.

Links in a notification open AI Analyst in the right organization and, usually, the right Workspace. An email that covers several Workspaces opens the organization only.

Steward inbox and scheduled insight emails can include an unsubscribe link. Using it turns off the matching toggle (Steward inbox alerts or Scheduled insight emails). You can turn it back on under Settings → Notifications.

Channel notifications (Slack and Microsoft Teams)

Channel notifications post alerts to a Slack or Microsoft Teams channel, so the whole team sees them.

Availability

  • Who can do this: members with the Edit capability in the active Workspace. Other members with Studio access see Channel notification settings are managed by your organization's admins.
  • Deployment: Actian SaaS and self-managed deployments with Slack or Microsoft Teams connected. Not available on air-gapped self-managed deployments.

Channel notifications belong to a Workspace. The settings you see are for the Workspace that is active when you open the page. They apply to everyone in that Workspace, and each channel receives only that Workspace's alerts. To set up notifications for another Workspace, switch to it first.

Before you start

Channel notifications need a connected Slack workspace or Microsoft Teams tenant. If none is connected, the page shows Connect a Slack or Microsoft Teams workspace to send channel notifications. Click Go to Connections and add one under Channels. See Integrations.

Route alerts to a channel

  1. Open Settings. Under Administration, click Notifications.
  2. Under Channel notifications, find the alert type you want to route:
    • Steward inbox alerts: posted when the Steward adds new Inbox items. At most one message per day.
    • Connection failure alerts: posted when AI Analyst can't connect to one of your data sources.
    • High latency alerts: posted when a data source averages more than 30 seconds per query.
  3. In the picker next to it, choose a channel. The picker lists the channels of your connected Slack workspace, including private channels, and of each Teams team the bot has been added to. To stop posting that alert type, choose Not posted.
  4. Click Save in the bar at the bottom of the page.
  5. Optional: click Send test next to an alert type to post a sample notification to its channel. You should see Test notification sent.

Each alert type has its own picker, so alert types can go to different channels.

Note

  • Send test is unavailable for an alert type until a channel is saved for it, and while that alert type has an unsaved change. A test goes to the saved channel.
  • A test doesn't count toward the once-per-day limit for Steward inbox alerts.
  • If your organization has connected more than one Slack workspace or Teams tenant, the pickers offer channels from only one Slack workspace and one Teams tenant.
  • Scheduled Insights can't be routed to a channel. They are sent by email to the schedule owner.

Troubleshooting

"We couldn't deliver the test notification. Check the channel connection and try again." Open Connections in Studio and check the Slack workspace or Teams tenant under Channels. If its status is Reconnection required or Disconnected, click Reconnect. For Teams, make sure the bot has been added to the team that owns the channel.

I can't change the channel settings. You need the Edit capability in the active Workspace. Organization capabilities such as Manage organization don't include it.

I don't see Notifications under Administration. The page is listed only for members with Studio access.
