Access Actian AI Analyst¶

Actian SaaS: go to the address Actian or your administrator gave you.
Self-managed deployment: go to the address your organization's IT team gave you. See Self-managed deployments for how sign-in differs.

Open the AI Analyst address. The Sign in to Actian AI Analyst page opens.
Enter your work Email and click Continue. AI Analyst checks which sign-in methods apply to your email domain.
Choose how to sign in:
- If your company uses single sign-on with AI Analyst, click Continue with <your organization> SSO (or Continue with single sign-on). You sign in through your company's identity provider.
- Otherwise, click Continue with password, Continue with Google or Continue with Microsoft.
Complete the sign-in steps. Your password, one-time codes and any multi-factor authentication (MFA) code are entered on the sign-in page that opens after you choose a method.

Which of the password, Google and Microsoft options you see depends on how your deployment is set up.

If you change the email address after clicking Continue, the sign-in options are cleared and checked again for the new address.

Signing in with your company's single sign-on¶

When your email domain belongs to an organization that signs in with single sign-on, the page says, for example, "<Organization> signs in with single sign-on for this email domain." The SSO button is the main option. The other methods are hidden under Other ways to sign in. Click that link to show them.

If your organization has turned on Require SSO, you can only sign in to that organization through single sign-on. Use the SSO button.

Administrators set up single sign-on in Settings → Administration → Security. See Enterprise SSO.

Multi-factor authentication¶

If you enrolled in MFA, or your organization requires it, sign-in asks for a code after your password, Google or Microsoft sign-in. See Multi-factor authentication (MFA).

If you see "We couldn't check how to sign you in.", click Continue to try again, or click Continue to the sign-in page to go straight to the sign-in page and choose your method there.

Create an account¶

Go to the sign-up page at /auth/register on your AI Analyst address. The Create your account page opens.
Enter your work Email and click Continue.
Choose Continue with password, Continue with Google or Continue with Microsoft, and complete the steps.

If your email domain uses single sign-on, you are offered the SSO button first, with the other methods under Other ways to sign in. There is no separate sign-up step for single sign-on: your company's identity provider already holds your account.

Tip

If your team already uses AI Analyst, ask a teammate or administrator to invite you rather than creating a new organization. An invitation puts you straight into their organization.

Accept an invitation¶

When an administrator invites you, you receive an email with an invitation link.

Open the invitation link. You go straight to the sign-in step for that organization, without entering your email first.
Sign in, or create your account, using the email address the invitation was sent to.
You land in the organization that invited you, with the access the administrator gave you.

If the invitation link doesn't work, for example because the administrator revoked or resent it, ask the administrator to send a new invitation. If you see Sign-in failed, click Sign in and try again with the invited email address, or contact the administrator.

Administrators send invitations from Members. See Members.

What you see after your first sign-in depends on whether you already belong to an organization.

Your situation	What happens
You belong to exactly one organization	It opens automatically.
You belong to several organizations	You see Is your organization already using Actian AI Analyst?. Choose Yes, my team is already using Actian AI Analyst, then select one of your organizations.
You belong to none, and creating organizations is enabled	You can set up a new organization.
You belong to none, and creating organizations isn't enabled	You see Ask your administrator for access.
You signed in with your company's single sign-on but aren't a member yet	You see Ask your administrator for access.

Choose: join or set up¶

If you see Is your organization already using Actian AI Analyst?, choose one option:

Yes, my team is already using Actian AI Analyst shows Join an existing organization, a list of the organizations you already belong to. Select one to continue. If you don't belong to any organization yet and no organization has offered you single sign-on, this option is unavailable and shows "You'll need an invite from a teammate to join their organization."
No, I'm setting up Actian AI Analyst for my organization creates a new organization. This option appears only where the deployment allows creating organizations.

Your organization already uses AI Analyst¶

If your verified email address belongs to a domain that an organization has set up for single sign-on, and you aren't a member of it, you see Your organization already uses Actian AI Analyst with a Continue with <organization> SSO button. The text tells you what happens next:

"Sign in with single sign-on and you'll join <organization> straight away."
"An administrator at <organization> has already added you. Sign in with single sign-on to get started."
"Sign in with single sign-on, then ask an administrator at <organization> to give you access."

Where the deployment allows it, you can still set up your own organization instead.

Set up a new organization¶

If you see Tell us about you, answer the questions and click Continue:
- Company Name
- Industry (if you choose Other, describe your industry)
- What's your job title?
- Phone (optional). Include the country code, for example +32470123456.
- What would be your primary Actian AI Analyst use case?
- How did you hear about us? (if you choose Other, describe how)
Continue becomes available once all required answers are filled in. You are asked these questions only once. They don't appear on every deployment.
Under Set up your organization, enter your organization's name. If you answered Company Name, the name is filled in for you. The Slug shown under the name is generated from it.
Click Create organization.

While your new organization is prepared, you may see "Setting up your organization…". When it opens, you are its administrator: you hold every organization-level capability, and you can edit and manage members in the organization's first Workspace. You can then invite your team. See Members.

If creating the organization fails, you see one of these messages:

"The organization service is temporarily unavailable. Please try again in a moment."	Wait a moment and try again.
"Your organization was created but we couldn't finish setting it up. Please contact support."	Contact support.
"Creating a new organization isn't enabled for this deployment. Ask an administrator for access."	Ask an administrator to invite you.
"This sign-in belongs to your company's organization. Ask your administrator for access instead of creating a new one."	Ask an administrator of your company's organization to add you.
"We couldn't create your organization. Please try again, or contact support if the problem continues."	Try again, then contact support.

When you see "Ask your administrator for access"¶

This screen means you signed in successfully but don't have access to an organization yet. The only action on it is Sign out. The explanation depends on your situation:

"You don't have access to <organization> in Actian AI Analyst yet. Ask an administrator at <organization> to add you, then sign in again."	Your email domain belongs to an organization that uses single sign-on, and you haven't been added to it.	Ask an administrator of that organization to add you, then sign in again.
"You signed in through your organization's identity provider, but you don't have access to it in Actian AI Analyst yet. Ask an administrator to add you, then sign in again."	Same as above, when the organization's name isn't available.	Ask your administrator to add you, then sign in again.
"You don't have access to an organization yet. Ask an administrator to invite you, then sign in again."	You don't belong to any organization, and this deployment doesn't let you create one.	Ask an administrator to invite you, then sign in again.
"Your email domain lets you join an organization, but it has no free Seats right now. Ask an administrator to free one, then sign in again."	Self-managed deployments only: your email domain lets you join an organization automatically, but all its Seats are in use.	Ask an administrator to free a Seat, then sign in again.

Switch organizations and Workspaces¶

If you belong to more than one organization, click the organization name at the top of the sidebar. Under Organizations, select the organization you want to open.

If you have access to more than one Workspace in the current organization, point to the current organization in the same menu to see its Workspaces, and select one.

The same menu also switches between Explorer and Studio, if you have access to both.

Sign out¶

Click your name at the bottom of the sidebar to open the account menu, then click Log out.

The account menu also opens your Profile, Security and Notifications settings. See Profile and Security.

Self-managed deployments¶

On a self-managed deployment, sign-in can work differently:

If the deployment uses its built-in identity service (Keycloak), the Sign in to Actian AI Analyst email page is skipped. You go straight to the deployment's own sign-in page. The team that runs AI Analyst sets which sign-in methods it offers.
On that deployment, if your organization has turned on Require SSO and you sign in another way, you see Sign in with single sign-on: "This organization requires single sign-on. Sign out, then sign in again through your organization's identity provider." Click Sign out and sign in again with the SSO button.
Invitation emails take you to the deployment's own sign-in page. Use the email address the invitation was sent to.
Creating new organizations is usually turned off. The first organization and its administrator are set up by the team that installed AI Analyst. Everyone else joins by invitation, through single sign-on, or, where an administrator has set it up, automatically based on their email domain.
