Scheduled Insights¶
Scheduled Insights let your AI Analyst run an analysis automatically on a recurring schedule, without you having to open Explorer and ask. You describe what to look at, how often to check, and when the analyst should tell you about it. When something is worth reporting, the analyst puts a finding in your Inbox. When nothing is, you hear nothing.
Instead of triggering on a fixed threshold only, your instructions can ask the analyst to use judgment, for example to look for unusual changes or to summarize what moved, and to report only when it finds something.
Availability
- Who can do this: members with the Chat capability in the active Workspace. Schedules are personal: you see and manage only your own.
- Plan: included only in plans that enable Scheduled Insights. Your plan can also limit how many active schedules each person can have, how often a schedule can run, and how many findings one run can create.
How scheduled insights work¶
- Each schedule belongs to you and runs as the AI Analyst you picked when you created it.
- Each run happens on its own, in a new conversation named after the schedule and the run date. You can open it from your conversation list, or with Open run on an Inbox item. It shows a From scheduled insight banner with an Open schedule link.
- A run reports a finding to your Inbox only when your instructions say it should. If you asked for it, you also get the finding by email.
- Each run uses messages from your organization's message allowance, like a conversation does.
Creating a schedule from a conversation¶
Ask your AI Analyst in a conversation. Describe what you want it to track, how often, and when to tell you:
"Check daily for new clients, and if they are from a Fortune 500 company, put a finding in my Inbox."
"Every Monday at 9am, check our weekly active users and email me if anything changed unusually."
"Every morning at 8:50 CET, prepare a morning brief for me."
The analyst sets up the schedule with the same AI Analyst as the conversation. The schedule is active immediately. The analyst should show you when it will run next. If something is wrong, ask it to delete the schedule, or edit the schedule on the Scheduled Insights page. The analyst can also list your schedules for you.
Note
A scheduled run can't create another schedule.
Creating a schedule from the Scheduled Insights page¶
- Click Scheduled Insights in the Explorer sidebar.
- Click Create schedule.
- Choose the Analyst. You can't change the analyst after the schedule is created.
- Enter a Title (up to 120 characters).
- Write the Instructions (up to 4,000 characters), or click an idea under Try an idea to start from a template: Alert on a drop, Recurring briefing, What changed or Email me a wrap.
- Choose when it runs:
- Repeats: Daily, Weekly or Monthly. New schedules start as weekly on Monday at 09:00.
- On these days (weekly): pick at least one day.
- Day of the month (monthly): pick a day from 1 to 31. For days after the 28th, months without that day are skipped.
- Time and Timezone: the timezone defaults to your browser's timezone.
- Check Next runs, which previews the next three run times in the chosen timezone.
- Click Create schedule. The schedule is active immediately.
Writing good instructions¶
Each run happens on its own, so write instructions that stand alone. Say:
- What to analyze, for example Compare this week's revenue to last week.
- When to put a finding in your Inbox, for example If it dropped more than 10%, put a finding in my Inbox with a chart.
- Whether to email you, for example Email me.
- What to do otherwise, for example Otherwise stay quiet.
The analyst creates a finding only when the condition in your instructions is met, not just to say that the run finished. To get a finding every time, say so, for example Always put the briefing in my Inbox.
Email delivery¶
You get an email for a finding only when your instructions ask for it, for example Email me.
- The email goes only to you, the schedule's owner. The analyst can't email anyone else.
- You get one email per finding that asked for email. If a run creates no finding, no email is sent, even if your instructions say Email me.
- The email includes the finding and can include up to 4 charts from the run.
- To stop all scheduled insight emails, open your account menu → Notifications and turn off Scheduled insight emails. The findings still appear in your Inbox.
- When an email includes an unsubscribe link, you can also use it to stop these emails. The link stays valid for 30 days.
Managing your schedules¶
Click Scheduled Insights in the Explorer sidebar to see all your schedules, active and paused. Each row shows:
| Column | What it shows |
|---|---|
| Status | Active, Paused or Won't run, with a pause/resume button next to it |
| Schedule | The title and how often it runs |
| Last run | When the schedule last came due, or Never. Skipped runs count, so check Recent runs to see whether it actually ran. |
| Next run | When it runs next. Shows Paused or Won't run when it isn't running. |
| Actions | Edit, Run now and More actions (Recent runs, Delete) |
Editing a schedule¶
- Click Edit on the schedule's row. The Edit schedule dialog opens.
- Change the Title, Instructions, Repeats, days, Time or Timezone. The Analyst is fixed.
- Click Save to apply your changes. If you close the dialog with unsaved changes, you're asked Discard unsaved changes?.
Some schedules created in a conversation use a timing pattern that can't be shown as Daily, Weekly or Monthly. For those, the dialog shows a Cron field with Minute, Hour, Day, Month and Weekday parts, and a set of common presets, instead of Repeats.
Pausing and resuming¶
Click the pause button next to a schedule's status to pause it. The status changes to Paused and it stops running until you click the resume button.
If a run was due while the schedule was paused, resuming it can start one run shortly afterwards instead of waiting for the next scheduled time. It counts toward your message allowance like any other run.
Moved from the previous version?
If your organization was moved to Actian AI Analyst from the previous version of the product, your existing schedules arrive paused. Review each one, then resume the ones you want to keep. A resumed schedule can start one run shortly afterwards instead of waiting for its next scheduled time.
Running a schedule now¶
Click Run now to start a run straight away, without waiting for the next scheduled time. A Run queued. message appears. Clicking again within a few seconds doesn't start a second run.
Run now works only on an Active schedule. On a Paused schedule, Run queued. still appears but no run starts, so resume the schedule first. Open Recent runs to confirm that the run appears.
A run started with Run now follows the same rules as a timed run.
Recent runs¶
Click More actions → Recent runs to see each run with its date and time and its outcome:
| Outcome | Meaning |
|---|---|
| Produced inbox item | The run finished and put at least one finding in your Inbox. |
| No findings | The run finished without reporting anything. |
| Running | The run is still in progress. |
| Failed | The run didn't finish. |
| Skipped | The run didn't start. A reason code appears: PREVIOUS_RUN_IN_FLIGHT means the previous run of this schedule was still in progress, and ANALYST_NOT_USABLE means the analyst is no longer available to you. |
Click a run that created a conversation to open it.
Upcoming runs calendar¶
On wide screens, the Upcoming runs calendar beside the table marks the days your active schedules are due. Pick a day to see its runs. When every schedule is paused, it shows All schedules are paused, so nothing is due to run.
Deleting a schedule¶
- On the schedule's row, click More actions → Delete.
- Confirm in the Delete this schedule? dialog.
The schedule stops running. Past findings stay in your Inbox, and past run conversations stay in your conversation list. You can also ask the analyst in a conversation to delete a schedule.
Limits and when a schedule won't run¶
| Situation | What happens |
|---|---|
| The analyst was undeployed, or you no longer have access to it | The schedule shows Won't run in Status and Next run, with the note This schedule's analyst is no longer available to you, so its runs are skipped. Runs are recorded as Skipped. |
| The previous run is still in progress | The next due run is recorded as Skipped. |
| Your organization has reached its message or seat limit, or no language model is connected | The run starts but stops before the analyst works, and delivers nothing. It shows no outcome in Recent runs. |
| Your organization isn't active (for example, a trial has ended) | Schedules don't run, and nothing is recorded in Recent runs. |
| Your plan doesn't include Scheduled Insights | You can't create schedules. |
| You've reached your plan's limit on active schedules | You can't create another active schedule or resume a paused one until you pause or delete another. |
| The schedule would run more often than your plan allows | The schedule can't be created or saved with that timing. |
| A run tries to create more findings than your plan allows | Findings beyond the limit aren't created. |
Troubleshooting¶
I see Could not create schedule. or Could not update schedule. The most common causes are plan limits: your plan doesn't include Scheduled Insights, you've reached the limit on active schedules, or the schedule runs more often than your plan allows. Try a less frequent timing, or pause or delete another schedule. If the problem continues, ask your administrator.
I didn't get an email. Check that your instructions ask for email (for example Email me), that the run produced a finding (Produced inbox item in Recent runs), and that Scheduled insight emails is turned on under your account menu → Notifications. On a self-managed deployment, also ask your administrator whether email delivery is set up.
A schedule shows Won't run. The schedule's AI Analyst is no longer available to you. Ask your data team whether the analyst was undeployed or your access changed. Because the analyst can't be changed on an existing schedule, create a new schedule with an available analyst if needed.
